  1. Watch the inbound fax line. MAIA monitors your existing fax service. New documents trigger the workflow within seconds.
  2. Read and classify. High-fidelity OCR extracts the document text and preserves layout. MAIA tags the document type and pulls the relevant patient and clinical fields.
  3. Match to the right patient. Patient identifiers are extracted and matched against your EHR. Matches require two identifiers (name + DOB, or name + MRN) at high confidence. Unmatched faxes route to human review.
  4. Route to the right workflow. Lab results upload to the chart and trigger critical-value alerts where applicable. PA denials open a prior auth case. Referrals create scheduling tasks. Everything else uploads with the right document type tag.

How does MAIA match a fax to the right patient?

OCR extracts patient identifiers (name, DOB, MRN) from the fax. MAIA looks up the patient in your EHR and confirms a match on at least two identifiers before uploading. Faxes that cannot be matched with high confidence are routed to a human review queue.

What happens with a critical lab value?

MAIA flags critical values (e.g., potassium above 6.5, troponin elevation, panic values) for immediate provider notification before normal routing. Configurable per practice and per test.

Can MAIA also send faxes?

Yes. Outbound fax is supported for prior auth submissions, referral letters, and patient record requests. Outbound delivery uses HIPAA-compliant fax services with delivery confirmation.
